A growing, Houston-based professional services firm, G&A Partners is currently seeking an HCM - Receptionist to join its team at the G&A satellite office located in Henderson, NV.

Summary:

This position is responsible for the professional and efficient managing of visitors, clients, vendors, telephone calls, and messages as well as a variety of clerical and payroll packaging duties that support the payroll and administrative services, we provide our clients.

Responsibilities

Receptionist:

  • Answers telephones, screens, and directs calls accordingly
  • Provides general support to callers as needed.
  • Greets visitors, clients, visiting colleagues or anyone who enters the premises in a professional and courteous manner.
  • Receives incoming deliveries and distributes them accordingly.
  • Manages weekly inventory to ensure kitchen, janitorial, general office supplies and processing room stock is on hand and available.
  • Must anticipate high volume needs and have appropriate levels of stock.
  • Performs general administrative and clerical support functions such as: Filing, preparing documents, and reports as needed, maintaining clients’ electronic files, assisting with correspondence and administrative projects for management, offering client/employee online support, data entry and general support for the team and Management.

Payroll Assistant:

  • Primarily responsible for the printing, packaging and preparation of all payroll packages, including local and out of state deliveries, to include outgoing UPS, FedEx, or local courier packages daily, as needed.
  • Responsible for outgoing mail and ensuring postage is correct and in person pickups are verified and appropriate logs entries are made.
  • Sorts, distributes, and processes incoming mail, packages and deliveries.
  • Ensures the appearance, functionality and stock is maintained in the primary processing room.
  • Keeps immediate supervisor well-informed of activities, results of efforts and concerns identified/or potential problems; recommends corrective actions to immediate supervisor.
  • Maintains confidentiality of organization, fiscal and personnel and client related information.
  • Will learn to manage basic, minimally complex payrolls for clients and process those assigned accounts, and all related maintenance required on a regularly scheduled basis.
  • Manages various client subscription services to assist with maximizing client offerings while minimizing associated costs.
  • Provides progress reports to appropriate team members.
  • Delivers shipments to carrier hubs for after-hours pickup.
  • Requests delivery fee credits for carrier shipping errors.
  • Coordinates and oversees courier deliveries or other ad hoc solutions for shipment issues.
  • Coordinates holiday office hour information to scheduled carriers.
  • Provides customer-oriented problem-solving solutions for late packages.
  • Keeps records of incoming and outgoing shipments.
  • Compiles statistical reports, statements, and summaries related to payroll shipping or other job
    functions.
  • Self-report 100% of all errors, issues, client dissatisfaction or perceived errors within 24 hours of
    occurrence to Manager and Director.

Other Duties:

  • Maintains an organized and tidy appearance of the reception area.
  • Coordinates cross-departmentally as needed.
  • Participates in HRIS/Payroll software training and development to expand industry and HCM
    KSAs.
  • Performs other related administrative duties as assigned or needed.

Qualifications

Education:

  • High school diploma or equivalent is required.
  • Additional education is preferred.

Skills & Experience:

  • At least one year of clerical experience is preferred.
  • Previous experience in shipping is preferred.

Computer Skills:

  • Experience in Microsoft Office 365 Suite products is required.

Salary

Starting wage is $18.00 per hour.

The starting range represents the low and high end of the G&A Partners’ range for this position. Actual wages will vary and may be above or below the range based on various factors including but not limited to location, experience, and performance. The range listed is just one component of G&A’s total compensation package for employees. Other rewards may include commissions, annual bonuses, and program specific rewards. In addition, G&A Partners provides a variety of benefits to employees, including health, dental, vision, life insurance, short-term and long-term disability, flexible spending, ancillary benefits, retirement savings plan, paid holidays, and paid time off (PTO).
